AI-assisted instructional illustration; not a real Taotao order, measured parcel or carrier record.
A supplier offers to send a sample from China and quotes the product's weight. Is that enough to approve express shipping? No: the buyer needs evidence for the finished parcel, not just the item inside it.
Carriers can calculate a dimensional weight from the package's outside length, width and height. UPS explains how to measure a box and notes that its dimensional-weight divisor can vary by rate type. FedEx explains that its charge can be based on the greater of actual and dimensional weight. Check the current terms for the specific carrier and service; do not apply one carrier's published formula to another.
The four-line parcel evidence request
Before approving a sample shipment, ask the supplier for one photo of the sealed parcel beside a measuring tape and one photo of it on a scale. Then request this worksheet:
- Contents: exact sample configuration and number of units in this parcel.
- Outside size: finished parcel length × width × height, with units.
- Gross weight: sealed parcel weight, including all packing, with units.
- Quote basis: carrier and service, rate/account basis, chargeable weight and excluded charges.
This is a verification request, not a demand to use a particular carrier. If protective packaging changes after the quote, request revised measurements and a new rate before dispatch. Product-only weight or a catalogue carton size may not describe the parcel actually handed to the carrier.
Continue, pause or escalate
Continue when the sealed-parcel evidence matches the shipping quote and service. Pause when only product weight or an unbuilt box size is available. Escalate a mismatch between supplier dimensions and the forwarder's billable-weight calculation to the carrier or forwarder before approving payment or dispatch.
See our helmets and visors category as one product example; the same evidence request applies to other boxed samples. No size, weight, freight rate or delivery time is claimed for an actual shipment here.
